Build an operations pack
At handover, the operator needs an organized record of what was installed and how the system is monitored. Ask for the approved layout, equipment identities, electrical drawings, commissioning records, monitoring access and the maintenance information applicable to the supplied equipment. Store the current files in a location the operating team can actually access. Agree how alarms and performance concerns will be reviewed, who receives them, and which party is responsible for the next action. A dashboard account alone is not an operating procedure. During the walkthrough, identify the maintenance access arrangements and the process for reporting defects. Record open items separately from completed acceptance checks, with a clear owner for each. Planned inspections and any electrical or rooftop work must follow the site procedures and be carried out by appropriately qualified personnel. Revisit the handover pack when equipment, settings or responsible contacts change so it remains a working document rather than an archive.
